Privacy Policy
Koolabee Figures is based in Markham, ON. This explains what we collect when you order, and what we do with it.
What we collect
- Order details: your name, email, phone (if you give it), delivery address, the occasion, notes and the size and extras you chose.
- Photos and files you upload, and the messages you exchange with our makers in the order chat.
- Payment records: which payments were made and when. Card details go straight to Stripe and never reach us.
- How you found us: the ad or page that brought you to the order form (for example campaign tags), so we can tell which ads work.
Why we use it
To make and deliver your figure, talk to you about it, take payment, handle problems and refunds, and meet our tax and accounting duties. We do not sell your information.
Who sees your photos
Your photos and chat are visible to you, through the private link we email you, and to the makers working on your order. Anyone with your tracking link can view your order, so keep it private; we can issue a new link if it leaks.
Who handles data for us
- Cloudflare hosts the website and stores your order data and files.
- Stripe processes payments.
- Resend sends our emails to you.
These providers may process data outside Canada.
How long we keep it
Photos and uploaded files are deleted 90 days after your order is delivered. Order records and payment records (without photos) are kept for as long as we need them for accounting, taxes and resolving disputes.
Analytics and cookies
The marketing pages use privacy-friendly traffic statistics. Advertising and analytics tags that use cookies load only if you accept them in the cookie banner.
Your choices
You can ask to see, correct or delete the information we hold about you, or ask us to delete your photos earlier than 90 days, by emailing hello@koolabee.com. We will answer within 30 days.
